What the file needs

One row per product. Most systems can export this (Shopify, QuickBooks, NetSuite, Zoho, Excel).

  • Unit cost
  • Units sold in the last 12 months
Optional, for better results: description, units sold in the last 3 months, supplier lead time (days), nearest expiry date, supplier, category.

    How it's calculated

    Lead time used for each item. The lead time in your file comes first. If an item has none, its supplier's lead time from the setup panel is used, then the default lead time.

    ABC classes. Items are ranked by yearly sales value at cost (units sold × unit cost). A items make up the first 80% of that value, B the next 15%, C the last 5%. Items with no sales in 12 months are listed as "No sales".

    Daily demand. Units sold in 12 months ÷ 365. When 3-month sales are given, recent months count for 60% so trends show up sooner.

    Safety stock. Service-level factor × demand swing × monthly demand × √(lead time in months). A items get the highest protection.

    Reorder point. Daily demand × lead time + safety stock. When stock on hand is at or below this, the item is on the "Reorder now" list. Suggested order brings stock up to the reorder point plus one order cycle of demand.

    Excess. Stock above the larger of (reorder point + one order cycle) and your "most stock" limit. Dead stock is anything on hand with no sales in 12 months.

    Expiry risk. Units unlikely to sell before their expiry date at the current sales rate, plus anything already expired.

    Health score. Starts at 100 and drops for cash in dead or excess stock, items out of stock, stock at expiry risk, and slow stock turns.
